Client Experience & Operations Associate

Fully Remote | Aligned to Eastern Time | Flexible Hours

About Chesapeake Financial Planners
At Chesapeake Financial Planners, we help successful professionals and business owners bring calm and clarity to their financial lives. Our firm is modern, tech-forward, and built on transparency, empathy, and accountability. We operate to a fiduciary standard and use data-driven strategies to turn complex financial situations into clear, confident decisions.

We’re a close-knit team that values collaboration, integrity, and great communication — both with each other and with our clients.

About the Role
We’re looking for a friendly, highly organized Client Experience & Operations Associate to support both firm partners and serve as the first point of contact for our clients. Think of this role as part administrative expert, part relationship builder, part operations whiz. You’ll help keep everything — and everyone — running smoothly, ensuring that every client interaction reflects our promise of clarity and care.

What You’ll Do

  • Act as the firm’s “chief experience officer,” ensuring clients feel seen, supported, and valued
  • Manage calendars, coordinate meetings, and prepare agendas and follow-ups for client and internal meetings
  • Handle incoming calls and emails with professionalism, warmth, and efficiency
  • Maintain and update our CRM (Salesforce) with accuracy and attention to detail
  • Assist with financial planning software and tools such as RightCapital, PreciseFP, and Jump AI for data gathering, meeting prep, and documentation
  • Collaborate with our marketing suite (AdviserCMO) to support event coordination, digital communication, and occasional content execution
  • Coordinate with custodians and client portals to assist in onboarding, account setup, and document processing
  • Help document internal processes and contribute to creating greater efficiency across the firm
  • Provide administrative support to both partners as needed in daily operations

What We’re Looking For

  • 3–5 years of professional experience in administrative, client service, or operations support roles
  • Experience in financial services is preferred; familiarity with CRMs and digital tools is highly valued
  • Strong written and verbal communication skills — you can write clear, personable messages and enjoy connecting with people
  • Naturally organized, detail-oriented, and proactive — you anticipate needs before they’re asked
  • Comfortable juggling multiple priorities in a remote environment while maintaining warmth and professionalism
  • Outgoing, friendly, and solution-oriented — you make others feel at ease while keeping things moving forward

Growth & Development
We believe in investing in our people. As the firm grows, this position has a clear path toward operations management, office management, or other leadership roles. You’ll also have access to ongoing professional development opportunities and training to help you expand your skills and career.

Compensation & Benefits
Salary commensurate with experience, plus performance-based incentives and professional development support.
